Your privacy matters deeply to us. This policy explains exactly what data we collect, why we collect it, how it's used, and your rights over it. We do not sell your personal data.

1. Introduction

OneMind ("the App") is developed and operated by Trace ("we", "us", or "our"). This Privacy Policy explains our practices regarding the collection, use, disclosure, and protection of your information when you use OneMind.

By using OneMind, you consent to the collection and use of your information as described in this policy.

2. Information We Collect

2.1 Information You Provide

  • Account information: Name, email address, and password when you create an account
  • Profile preferences: Your productivity preferences, focus styles, and customization settings gathered during onboarding
  • App content: Tasks, habits, notes, journal entries, and schedule data you create in the App
  • AI Coach conversations: Messages you send to the AI Coach to receive personalized guidance
  • Communications: Messages you send to our support team

2.2 Information We Collect Automatically

  • Usage data: Features used, session duration, actions taken within the App
  • Device information: Device type, operating system, app version
  • Performance data: Crash reports, error logs to improve stability
  • Notification interactions: Whether and when you open push notifications

2.3 Information from Third Parties

  • Sign in with Apple: When you use Apple Sign-In, we receive a unique user identifier and optionally your name and email
  • Payment processors: App Store or Google Play process payments; we receive a confirmation of purchase but not your full payment details

Important: We never collect your precise location, contacts, photos, or biometric data unless you explicitly grant permission for a specific feature that requires it.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve OneMind
  • Personalize your experience and power AI Coach recommendations
  • Process subscriptions and send purchase confirmations
  • Send important service notifications (not marketing without your consent)
  • Respond to support requests
  • Analyze usage patterns to improve features and performance
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

4. AI Coach and Your Data

The AI Coach feature uses your app data (tasks, habits, schedules) to provide personalized advice. This data is processed using third-party AI providers (such as OpenAI) under data processing agreements that prohibit them from using your data to train their models.

  • AI conversations may be stored to improve response quality
  • You can clear your AI conversation history at any time in Settings
  • Do not share sensitive personal information (medical records, financial data) with the AI Coach

5. Data Sharing

We do not sell your personal data. We may share your information with:

  • Service providers: Cloud hosting (Supabase), AI services, analytics tools — all bound by strict data processing agreements
  • Payment processors: Apple and Google for subscription management
  • Legal authorities: When required by law, court order, or to protect the safety of our users or the public
  • Business transfers: In the event of a merger, acquisition, or sale of assets

6. Data Security

We implement industry-standard security measures to protect your data:

  • All data is encrypted in transit using TLS/SSL
  • Data at rest is encrypted using AES-256
  • Access to user data is strictly limited to authorized personnel
  • We conduct regular security reviews and penetration testing
  • Passwords are hashed and never stored in plaintext

No system is 100% secure. In the unlikely event of a data breach, we will notify affected users as required by applicable law.

7. Data Retention

We retain your data for as long as your account is active. After account deletion:

  • Your personal data and app content are deleted within 30 days
  • Anonymized, aggregated analytics data may be retained indefinitely
  • Backup copies are purged within 90 days
  • We may retain certain data as required by law (e.g., transaction records for tax purposes)

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your account and data
  • Portability: Request your data in a portable format
  • Restriction: Request that we limit how we use your data
  • Objection: Object to certain types of data processing
  • Withdraw consent: Where processing is based on consent, you can withdraw it at any time

9. Children's Privacy

OneMind is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.

10. International Data Transfers

Your data may be processed in countries other than your own. Where we transfer data internationally, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by relevant data protection authorities.

11. Cookies and Tracking

The OneMind mobile app does not use traditional browser cookies. We may use:

  • Local device storage for app settings and offline data
  • Analytics SDKs to understand app usage (anonymized where possible)

Our website (getgetonemind.app) may use cookies for analytics and functionality. You can control cookie preferences through your browser settings.

12. California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete it, and the right to opt out of its sale (which we do not engage in). 13. European Privacy Rights (GDPR)

If you are in the European Economic Area, UK, or Switzerland, our legal basis for processing your data includes: performance of a contract (providing the App), legitimate interests (security, analytics), your consent, and legal compliance. You have the right to lodge a complaint with your local data protection authority.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the App or by email. The "Last updated" date at the top reflects the most recent revision. Continued use of the App after changes take effect constitutes your acceptance.
